Syncing Klytic Docs on your devices

Klytic Docs syncs on computers (PC and Mac), works on phones with the mobile app and can be accessed in the browser. On a computer, you choose which folders to keep on the device, including offline. On a phone, you access everything and keep offline what you mark.

For another operating system, ask Klytic support what is supported on your instance.

Installing and connecting a computer

  1. Install the sync client specified by your administrator or by Klytic support.
  2. Enter the address of your Klytic Docs instance.
  3. Sign in. Sign-in opens in the browser. If two-factor authentication is enabled, that is where you confirm it.
  4. Choose the local folder and the folders to sync.

A computer or phone can also be connected with a device-specific password, created in your security settings. It is used only for that device, and you can revoke it on its own, without changing your main password.

Choosing what syncs

You do not have to copy everything to the computer. Select the folders you use every day and leave the others in the service: they remain accessible in the browser. It is also a matter of disk space and security. The fewer copies a computer holds, the less its loss matters.

Offline, you work on the local copies. When the network comes back, the client sends your changes and retrieves those of others. Each upload creates a new version on the server: see Recovering a version of a document.

On your phone

The mobile app gives access to your space and to team folders. It does not copy everything to the phone: you mark the files or folders to keep offline. It is also used to upload a document from the field, for example a photo of a supplier invoice or a delivery note.

Copy conflicts: keeping the right version

A conflict occurs when the same file has been edited in two places before syncing could take place, typically by two people working offline. The client does not choose for you and discards nothing. It keeps both: next to the original file, a copy marked as a conflict appears, with the date.

  1. Open both files.
  2. Copy whatever is missing into the original file.
  3. Delete the conflict copy once its content has been carried over.

For a document that several people edit often, the best prevention is co-editing in the browser: everyone works on the same file, at the same time. It is provided for a limited number of users; support for a large number of online editing users is subject to a specific quote.

Syncing is not backup

Syncing also copies deletions and errors. A file deleted on the computer is deleted in the service and goes to the recycle bin. An infected computer can upload damaged files. Your first recourse is the version history and the recycle bin, free of charge and in your own hands, then Klytic backups from the last 30 days, through support. This restoration is included or charged depending on the cause. After an infected computer, it is included if the computer was properly protected, and handled through a paid support ticket if it was not protected enough, for example lacking updates or antivirus. The guide Versioning, replication and backup of documents explains the difference.

Lost or stolen device

  1. From the browser, open your security settings: the list of browsers and devices connected to your account is there. Revoke access for the lost device. It can no longer sync.
  2. Change your password if the device was not locked.
  3. Notify your administrator and Klytic support. If you can no longer sign in, the administrator can deactivate the account while the situation is assessed.

Revoking access prevents future exchanges. Files already copied to the device remain there: locking and disk encryption on the computer or phone remain your first line of protection.

Sensitive folders: stay in the browser

A highly sensitive folder (payroll, litigation, health data) can be kept out of local syncing. It then opens only in the browser, with no copy on computers. It is a simple rule to give teams, and it complements the folder’s rights. Rights are described in Controlling who sees which documents, and external links in Sharing links, partners and uploads.

Depending on the folder’s encryption mode, access from certain devices or from the browser may differ. Check with support before encrypting a folder used on the move.

Frequently asked questions

An employee is leaving: what should I do with their computer?

Sign out the client and close the account’s access. See Documents when an employee or a team leaves.

I overwrote a file from my computer. Can I go back?

Yes, through the version history: Recovering a version of a document.

Can I sync a folder shared by a partner?

A folder shared with your account syncs like any other. An external link is viewed in the browser. See Sharing links, partners and uploads.

What is the difference between syncing and a document management system?

The guide Storage, sync, file sharing and document management explains it in detail.

Rolling out syncing on your computers?

Klytic support helps you install the client and choose which folders to sync.
